Onboarding, Offboarding, and Archiving Users
Start lifecycle workflows and review onboarding, offboarding, and archive records.
Use Lifecycle to manage onboarding and offboarding records in one operational workspace. Use identity actions when you need to offboard, archive, or remove a specific account.
Open Lifecycle
From the sidebar, go to Accounts, then Lifecycle.
The Lifecycle workspace shows onboarding and offboarding records. Search by name, email, title, or department. Filter by all records, onboarding, or offboarding.
Use the action menu to start:
- Onboard User.
- Offboard User.
You can also start onboarding from the Identities toolbar or start offboarding and archiving from an identity detail panel. When Identities opens in Action Mode, select the target account, then continue the requested action from the banner or detail panel.
Onboard a User
The onboarding form collects the details needed to create or track a new account.
Common fields include:
- First name and last name.
- Preferred first name.
- Personal email, phone, and address.
- Work email.
- Job title.
- Manager.
- Department.
- Company.
- Start date.
- Account type, such as employee, contractor, or system account.
- Notes.
- Microsoft or Google account details, depending on the tenant environment.
Required fields are marked in the form. ORVO also checks for duplicate work email addresses before the form can be submitted.
Offboard a User
Start offboarding from Lifecycle or from an identity action.
The offboarding form can include:
- First name and last name.
- Email.
- Title.
- Manager.
- Exit date.
- Archive Email.
- Archive Drive.
- Asset Notification.
If the identity has assigned assets, ORVO can show those devices and enable an asset notification option.
Archive options require archive storage to be configured. If storage is missing, ORVO shows a link to configure storage.
Archive a User
Use Archive when you need to preserve mailbox or drive data without running a full offboarding workflow.
The archive form can include:
- First name and last name.
- Email.
- Title.
- Manager.
- Archive Email.
- Archive Drive.
At least one archive option must be available and selected. Archive storage must be configured before mailbox or drive archive jobs can run.
Review Records After Submission
After submitting lifecycle or archive work:
- Use Lifecycle to review onboarding and offboarding records.
- Select a Lifecycle row to inspect submitted details and workflow status.
- Use Archives to review completed archive and restore records.
- Use Running Jobs to monitor archive or restore jobs that are still processing.
