M365 Recommendations

Review Microsoft 365 account recommendations, action status, license usage, and potential waste.

Use M365 Recommendations to review Microsoft 365 account activity, licensing signals, recommended actions, and license utilization.

This workspace is available for Microsoft 365 tenants when the feature is enabled.

Open Recommendations

From the sidebar, go to Overview, then Recommendations.

Use the mode switch to move between:

  • Accounts.
  • Licenses.

Accounts Mode

Accounts mode helps you review users with activity or licensing signals that may need action.

Use Search to find users by name or email.

Use filters to focus by:

  • Recommended action.
  • Account status.
  • User type.
  • View: actionable, pending, or whitelisted.

The accounts table can show:

  • Email.
  • Recommended action or pending state.
  • Status.
  • Waste per month.

Select an account to review details.

Account Details

The account detail panel can include:

  • Recommended action.
  • Reason for the recommendation.
  • Available ORVO actions, such as Offboard, Archive, or Delete.
  • Status.
  • Assigned licenses.
  • Department.
  • Job title.
  • Sign-in history.
  • Activity signals for email, Teams, OneDrive, calendar, devices, managed devices, and desktop activation.
  • Groups and Teams.

Use Mark Pending when the action was completed outside ORVO and needs to be tracked. Use Whitelist when an account should be ignored by the recommendations workflow. Pending and whitelisted accounts remain visible through the View filter.

Recommendation Overview

When no account is selected, ORVO summarizes:

  • Monthly and annual license cost impact.
  • Assigned, recommended, and waste estimates.
  • Highest-waste users.
  • Total actionable accounts.
  • Status breakdown.
  • Action breakdown.
  • User type breakdown.
  • Quick insights.

Licenses Mode

Licenses mode helps you review Microsoft 365 SKU utilization.

Use Search to find licenses by name.

The license table can show:

  • License.
  • Usage.
  • Available seats.

Badges may identify licenses with no seats, full usage, near-full usage, spare capacity, or balanced usage.

Select a license to review assigned seats, purchased seats, available seats, utilization, and recommendation context.

Use Download to export the current account or license view. Use Refresh when you need the latest recommendation and license data from Microsoft 365.
