Onboard a User

Start a user onboarding record, complete required fields, and understand what happens after submission.

Use onboarding when a new employee, contractor, or other account needs to be created or tracked in ORVO.

Before You Start

Have the user details ready before opening the form.

Common fields include:

  • First name and last name.
  • Preferred first name, when needed.
  • Personal email, phone, and address.
  • Work email.
  • Job title.
  • Manager.
  • Department.
  • Company.
  • Start date.
  • Account type.
  • Notes.
  • Microsoft or Google account options, depending on the tenant environment.

Some tenants have additional required fields. Required fields are marked in the form.

Start Onboarding

You can start onboarding from either place:

  • Go to Accounts, then Lifecycle, and choose Onboard User from the action menu.
  • Go to Accounts, then Identities, and select Onboard user from the toolbar.

Complete the Form

  1. Enter the user's name and work email.
  2. Select or enter the user type.
  3. Add job, manager, department, company, and start date details.
  4. Complete environment-specific account fields.
  5. Add notes if another operator needs context.
  6. Submit the form.

ORVO checks for duplicate work email addresses before submission. If the email already exists, the form blocks submission and shows a duplicate user message.

After Submission

After the record is submitted, use Lifecycle to review it.

The Lifecycle workspace lets you:

  • Search by name, email, title, or department.
  • Filter by onboarding or offboarding records.
  • Select a record to inspect submitted details and workflow status.

If You Cannot Submit

Check the required fields first. The form can block submission when required identity fields are missing, the email domain is invalid for the tenant, the user type is not selected, or the work email already exists.
