Managing Renewals

Track fixed-term contracts, recurring subscriptions, ownership, renewal dates, pricing, usage, reminders, and attachments.

Use Renewals to track fixed-term contracts and recurring subscriptions in one ledger.

Open Renewals

From the sidebar, go to Renewals, then Fixed Term or Recurring. Both options open the renewals ledger with the relevant record type in focus.

Search and Filter

Use Search to find records by vendor, product, owner, notes, or contacts.

Use filters to focus by:

  • Type: fixed term, recurring, or all records.
  • Workflow: active, review, negotiating, renewing, canceling, or canceled.
  • Pricing model.
  • Renewal window: overdue, due in 30 days, due in 60 days, due in 90 days, later, or no renewal.

Table and Board Views

Use Table view for a structured ledger. The table can show:

  • Vendor and product.
  • Type.
  • Workflow.
  • Owner.
  • End date.
  • Spend.

Use Board view to manage records by workflow state. Drag records between workflow columns when the status changes.

Add a Renewal Record

Use Add to create:

  • A fixed-term record.
  • A recurring record.
  • A record from uploaded documents, when parsing is available.

Use Import CSV when you need to load multiple fixed-term or recurring records at once. Download the starter template first; it uses backend field names such as vendor_name. Imports are not idempotent, so re-uploading the same file can create duplicate records.

Use Upload And Parse when you want ORVO to start a new renewal record from source files such as PDF, Office documents, text files, spreadsheets, images, or presentations.

The editor can include:

  • Record type.
  • Workflow.
  • Vendor name.
  • Product or service.
  • Description.
  • Billing link.
  • Currency.
  • Primary owner.
  • Decision owner.
  • Finance reviewer.
  • Start date.
  • End date.
  • Vendor contacts.
  • Pricing model.
  • Billing cadence.
  • Period cost.
  • Contract total value.
  • Minimum commitment.
  • Unit label.
  • Cost per unit.
  • Purchased units.
  • Assigned units.
  • Notification emails.
  • 30, 60, 90, or custom renewal reminders.
  • Internal notes.
  • Attachments.

Required fields must be completed before saving.

Review a Renewal Record

Select a record to open the renewal detail panel. The panel highlights:

  • Renewal decision context.
  • Ownership.
  • Important dates.
  • Auto-renew status.
  • Pricing and usage.
  • Contacts.
  • Notes.
  • Attachments.
  • Attention areas such as overdue renewals, auto-renew risk, workflow pressure, low utilization, or coverage gaps.

Use Edit when you need to update terms, owners, dates, pricing, reminders, notes, or files.

Export Renewals

Use Export Current View to download the filtered ledger. Use Export All Records when you need the complete renewals dataset.
