Offboard or Archive a User

Choose between offboarding and archiving, submit the right action, and monitor the resulting work.

Offboarding and archiving are related but not the same workflow.

Use Offboard when a user is leaving and ORVO needs to record the offboarding workflow. Depending on the tenant and selected options, offboarding can include archive jobs and asset notifications.

Use Archive when you only need to preserve mailbox or drive data without running a full offboarding workflow.

Start From Identities

  1. Go to Accounts, then Identities.
  2. Search for the account.
  3. Select the identity.
  4. Use the action in the identity detail panel.

Some links open Identities in Action Mode for Offboard or Archive. In Action Mode, select the target identity, then continue the requested action from the banner or the detail panel.

Start From Lifecycle

  1. Go to Accounts, then Lifecycle.
  2. Use the action menu.
  3. Choose Offboard User.
  4. Search for and select the user.

Offboarding Fields

The offboarding form can include:

  • First name and last name.
  • Email.
  • Title.
  • Manager.
  • Exit date.
  • Archive Email.
  • Archive Drive.
  • Asset Notification.

If the identity has assigned assets, ORVO can show those devices and allow an asset notification option.

Archive Fields

The archive form can include:

  • First name and last name.
  • Email.
  • Title.
  • Manager.
  • Archive Email.
  • Archive Drive.

At least one archive option must be selected when archive options are available.

Archive Storage Requirement

Archive Email and Archive Drive require archive storage to be configured. If storage is missing, ORVO may show a setup message or link to Archive Storage settings.

Authorized users can configure archive storage from Settings, then Archive Storage.

After Submission

Use these workspaces to follow the work:

  • Lifecycle shows onboarding and offboarding records.
  • Archives, then Records, shows completed archive and restore records.
  • Archives, then Running Jobs, shows archive and restore jobs that are still processing.

Running jobs may show queued, indexing, or a percentage. Use Cancel when a job should not continue and the cancel action is available.
